Cancellation Policy for the Medcity LMS

This Cancellation Policy explains the circumstances under which enrollment in a Medcity course and the accompanying Medcity Learning Management System (“LMS”) access may be cancelled, either by the student or by Medcity International Academy (“Medcity”, “we”, “us”, “our”). It should be read alongside the LMS Terms and Conditions and the LMS Refund Policy, since cancellation and refund are related but separate matters, cancelling access does not automatically mean fees paid are refunded.
1. Cancellation by the Student
A student may request to cancel their enrollment and LMS access at any point by writing to us. However, please note the following:
- Cancellation of enrollment does not, by itself, entitle a student to a refund of fees already paid. Refunds are governed separately by Medcity’s Refund Policy, which follows a zero refund approach except in genuine, documented cases.
- Once LMS access has been activated and course material has been made available to the student, the course is considered to have commenced, whether or not the student has actively used the Platform.
- A student wishing to cancel should write to studentsupport@miak.in, with a copy (cc) to the General Manager at gm@miak.in, clearly stating the course enrolled in, branch, and reason for cancellation.
- On receiving a cancellation request, Medcity will confirm the cancellation in writing and, where applicable, close or restrict the student’s LMS access from the date specified in that confirmation.
2. Cancellation by Medcity
Medcity may need to cancel a specific batch, course offering, or a student’s enrollment in limited circumstances, including:
- A batch does not reach the minimum number of students required to run the course as planned.
- A trainer or resource necessary for the course becomes unavailable and a suitable alternative cannot be arranged within a reasonable time.
- The student is found to be in serious violation of the LMS Terms and Conditions, such as repeated misuse of course content or misconduct.
- Circumstances beyond Medcity’s reasonable control, such as regulatory changes affecting a particular exam or certification pathway.
Where Medcity cancels a batch or course for operational reasons (such as low enrollment or trainer unavailability), affected students will ordinarily be offered one of the following: a transfer to another batch or branch offering the same course, or a full refund of the fees paid for that course. Where cancellation results from a student’s own violation of the Terms and Conditions, the situation will instead be handled under the disciplinary and refund provisions applicable to that case.
3. Effect of Cancellation on LMS Access
Once a cancellation, whether initiated by the student or by Medcity, takes effect, LMS access for the relevant course will be closed. Any course material, video lessons, or mock tests accessed prior to cancellation remain subject to the confidentiality and content-use obligations described in the LMS Terms and Conditions, even after access ends.
4. Rescheduling as an Alternative to Cancellation
In many cases, a student considering cancellation due to a scheduling conflict, health issue, or similar reason may instead be able to pause or transfer to a later batch of the same course, subject to seat availability. Students are encouraged to raise such situations with studentsupport@miak.in before requesting a full cancellation, as this is often a more workable outcome for both sides.
5. International Students
Students enrolled from outside India may request cancellation through the same process described above. Where a refund forms part of the outcome of a Medcity-initiated cancellation, the usual considerations around international bank transfers, currency conversion, and processing timelines described in the Refund Policy will apply.
6. Changes to This Policy
Medcity may revise this Cancellation Policy from time to time to reflect changes in its academic operations or processes. Where changes are significant, we will make reasonable efforts to inform enrolled students. The updated Policy will be posted with a revised effective date.
