Privacy Policy for the Medcity LMS

Medcity International Academy (“Medcity”, “we”, “us”, “our”) respects the privacy of every student who uses the Medcity Learning Management System (“LMS”, “Platform”). This Privacy Policy explains what personal information we collect through the LMS, how we use it, who we may share it with, and the choices and rights available to you as a student.

This Policy applies specifically to the Medcity LMS and should be read alongside the LMS Terms and Conditions and, where applicable, Medcity’s broader institutional privacy practices. It is framed in accordance with Indian law, including the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023, together with the Digital Personal Data Protection Rules, 2025 notified under it. By using the LMS, you agree to the collection and use of your information as described here.

1. Information We Collect

To provide you with LMS access and to run your course effectively, we collect the following categories of information:

  • Identity and contact details: your name, phone number, email address, and address, as provided at the time of enrollment.
  • Enrollment and academic details: the course(s) you are enrolled in, batch and branch information, attendance, and course progress.
  • Login and usage information: your username, login activity, and basic usage patterns on the LMS, such as which lessons or tests you have accessed and completed.
  • Assessment data: your performance in practice tests, mock exams, and assignments completed on the Platform.
  • Payment-related information: fee payment status connected to your course, handled through Medcity’s regular admission and accounts process rather than stored directly on the LMS.

2. How We Use Your Information

We use the information collected through the LMS for purposes directly connected to your learning and our academic administration, including to:

  • Create and manage your LMS account and provide access to course content appropriate to your enrollment.
  • Track your academic progress and share feedback with trainers, HODs, and academic staff involved in your course.
  • Communicate with you regarding your course, schedule changes, results, or administrative matters.
  • Maintain internal records required for accreditation, quality assurance, and institutional reporting.
  • Improve the LMS itself, including identifying technical issues or content that may need revision.

3. Sharing of Information

Medcity does not sell or rent student information to third parties. Limited sharing takes place only where necessary, specifically:

  • With official examination or certification bodies (such as those administering IELTS, OET, PTE, TOEFL, LanguageCert, CELPIP, NCLEX-RN, or similar assessments), where this is required to register you for an examination or verify your preparation status.
  • With regulatory, accreditation, or government authorities where Medcity is required to report or disclose information by law.
  • With technology or service providers who help Medcity operate the LMS (for example, hosting or video delivery services), strictly for the purpose of running the Platform and under confidentiality obligations.

We do not share your assessment data or personal details with other students, unless it is in an aggregated or anonymised form, such as batch-level performance summaries.

4. Cookies and Analytics

The LMS may use cookies or similar basic technologies, and may in the future use analytics tools, to help us understand how the Platform is used and to improve its performance and content. Where such tools are used, they are intended to support the functioning of the LMS rather than for advertising purposes. This section will be updated with specific details if and when such tools are introduced.

5. Data Retention

We retain your LMS-related information for as long as you are enrolled with Medcity, and for a reasonable period afterward as needed for academic records, accreditation requirements, or legal obligations. Where information is no longer required for these purposes, we take reasonable steps to remove or anonymise it.

6. Data Security

We take reasonable technical and organisational measures to protect your information against unauthorised access, loss, or misuse. This includes restricting access to student data to staff who need it for academic or administrative purposes. However, no method of electronic storage or transmission is completely secure, and we encourage you to also protect your own login credentials as described in the LMS Terms and Conditions.

7. Applicable Law and Your Rights

Medcity handles student personal information in line with the data protection framework applicable in India. This currently includes the Information Technology Act, 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and is progressively aligning with the Digital Personal Data Protection Act, 2023 (DPDPA) and the Digital Personal Data Protection Rules, 2025, as their provisions come into force in a phased manner.

As a student, you have certain rights regarding your personal information under this framework. You may:

  • Request access to the personal information Medcity holds about you in connection with the LMS.
  • Request correction of any information that is inaccurate or outdated.
  • Ask us questions about how your information is being used, or raise concerns about its handling.
  • Withdraw consent for optional uses of your information, where applicable, though this may affect certain LMS features.

8. Students Under 18

Where a student enrolled with Medcity is a minor, information is collected and used with the understanding that a parent or guardian has been involved in the enrollment process. Parents or guardians may contact us with any privacy-related questions on behalf of a minor student.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the LMS itself, or applicable law. Where changes are significant, we will make reasonable efforts to inform enrolled students. The updated Policy will be posted with a revised effective date.
